| What we collect | Why we use it | Lawful basis |
|---|---|---|
| Your name, email address, phone number, company and the content of your message, when you use the enquiry form or contact us by phone or email | To answer your enquiry and, if it leads somewhere, to survey, quote, design and plan your project | Legitimate interests: responding to an enquiry you have asked us to answer, and the steps needed before entering a contract with you |
| Your email address, and a record of when you agreed, when you subscribe to our newsletter | To send you occasional news about our projects | Consent, which you can withdraw at any time |
| Contact details for the people we deal with at client, architect, contractor and supplier businesses | To run a project, arrange surveys, deliveries and installation, raise invoices and resolve queries | Contract, or legitimate interests where the contract is with the business rather than with you personally |
| Records of calls, emails, meetings, drawings and site visits about a project | To evidence what was agreed, to deliver the work and to resolve any claims | Legitimate interests: keeping an accurate record of our own business |
| Technical information about your visit, such as your IP address, browser, device type and the pages you view | To keep this website working and secure, to fix faults, and to see how many people visit the site and which pages they look at | Legitimate interests. Our Cookie policy explains what is set on your device |
We do not carry out automated decision making or profiling, and we do not ask for sensitive information. Please do not send us health or other special category information through the enquiry form.
We share personal information only where it is needed to do the job:
We do not sell personal information, and we do not share it for anyone else's marketing.
The information this website collects is stored in the United Kingdom. Where a supplier we use stores data in the European Economic Area or elsewhere, we rely on the UK adequacy regulations, or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with the additional safeguards those require. You can ask us which mechanism applies to a particular supplier.
| Record | Kept for |
|---|---|
| Enquiries that do not become a project | Up to 2 years from your last contact with us |
| Project, client and supplier records | The life of the relationship, then 6 years to cover the limitation period for contract claims |
| Records needed for accounting and tax | 6 years after the end of the accounting period, as required by law |
| Newsletter subscription | Until you unsubscribe. We then keep a record of your email address only so that we do not email you again |
| Technical logs, error reports and visitor statistics | Access logs up to 14 days; error reports and page view records up to 90 days, after which only daily totals remain |
This website is served over an encrypted connection, and the systems that hold your information use access controls and role based permissions so that only the people who need it for their job can see it. We assess the suppliers we use before we use them, and we have a procedure for reporting personal data breaches to the Information Commissioner's Office within 72 hours where the law requires it, and to the people affected where the risk to them is high.
Under UK data protection law you can ask us to:
